Xactimate questions / Photos and documentation

What makes an Xactimate field file complete?

Use a practical field-file review covering project details, sketch, photos, notes, quantities, and estimate handoff.

01

The practical answer

A complete field file allows the next qualified reviewer to understand what property was inspected, how areas connect, what conditions were documented, which measurements and quantities were used, what remains uncertain, and what action is expected next.

02

Why this matters in a real field file

Completeness is not the same as file size. Hundreds of photographs cannot replace a missing overview, and a detailed sketch cannot explain an undocumented condition. The file components must agree with one another.

  • Correct project and property information
  • Checked sketch and room names
  • Organized overview-to-detail photographs
  • Useful notes and unresolved questions
  • Reviewed quantities and estimate items
  • Clear field-to-office handoff

How Parrot Key teaches it

Parrot Key teaches a final walk-through of the digital file before the physical walk-through ends. If the file raises a question that can be answered at the property, answer it there.

FAQ

Frequently asked questions

  • Who should perform the final field-file review?

The company should assign responsibility clearly. The field user should perform an on-site check, and some organizations also require a separate estimator or quality-control review.
