Xactimate questions / Photos and documentation

How should photos be annotated in Xactimate Mobile?

Use concise, accurate Xactimate Mobile photo annotations that add context without making unsupported conclusions.

01

The practical answer

Annotations should identify the location, visible condition, orientation, measurement, or relationship the image is intended to document. Keep the wording factual and consistent with the photograph, project notes, and professional role.

02

Why this matters in a real field file

An annotation can make a photograph much easier to review, but it can also create confusion when it states more than the image supports or uses inconsistent room names. The label should reduce ambiguity, not replace inspection judgment.

  • Use the same location name as the sketch
  • Describe what is visibly documented
  • Add direction or component when useful
  • Include measurement context when applicable
  • Review spelling and factual consistency
03

How Parrot Key teaches it

Parrot Key teaches students to separate observation from conclusion. For example, a label can identify a visible stain and its location without turning the caption into a coverage or causation decision.

FAQ

Frequently asked questions

  • Can Xactimate create AI-assisted photo descriptions?

Current XactAI documentation describes AI-assisted descriptions on supported mobile workflows. The user must review and approve or change generated text; automation should never be treated as a substitute for factual review.
