Field-to-estimate workflow guide

Magicplan to Xactimate Workflow Training

Magicplan and Xactimate can support different parts of the same job. Neil teaches teams how to build and verify the field project in Magicplan, move available project information into Xactimate, and check the imported file before anyone starts writing the estimate.

01

Finish the field file before exporting it

An export does not fix a rushed inspection. Review the room layout, dimensions, openings, labels, affected areas, photos, and notes while the property is still in front of the team.

  • Confirm every room and level
  • Check dimensions and wall alignment
  • Label rooms and important objects
  • Attach photos and notes consistently
  • Review the project before handoff
02

Choose the transfer method your account supports

Magicplan documents an ESX export and direct integration options for moving eligible project information into Xactimate. Availability can depend on the current subscription, workspace, country, and product configuration, so access is confirmed before training.

03

Review what arrived in Xactimate

The estimator should never assume that every element will look identical after transfer. Open the imported project, check the sketch and measurements, review objects and affected areas, confirm photos and metadata, and resolve differences before adding estimate line items.

  • Sketch geometry and wall layout
  • Doors, windows, and openings
  • Objects and affected areas
  • Photos, captions, and metadata
  • Profile, project settings, and estimate structure
04

Train the whole handoff, not one button

The strongest program includes the people who capture the property and the people who write or review the estimate. Neil helps the team define who checks each stage, what must be complete, and what should happen when the transfer needs correction.

Independent training with current-source checks

FAQ

Frequently asked questions

  • Can Magicplan export a project to Xactimate?

Magicplan documents ESX export and direct integration options for eligible accounts. The available method can depend on the current Magicplan plan, workspace, region, and product configuration.

  • What information can move from Magicplan into Xactimate?

Official Magicplan documentation describes transferring floor-plan geometry, dimensions, certain objects and affected areas, and selected photos with metadata. Teams should check the current product documentation and review every imported project.

  • Will the Magicplan sketch look exactly the same in Xactimate?

Not always. The platforms construct and display parts of a floor plan differently, so walls, labels, objects, and room relationships should be reviewed after transfer even when the geometry is usable.

  • Does the export write the Xactimate estimate for me?

No. The transfer can provide project and sketch information, but an estimator still needs to verify the file, choose appropriate line items, confirm quantities and assumptions, write notes, and complete the estimate.

  • Can contractors and adjusters take this workflow training?

Yes. The workflow can be adapted for restoration and contractor teams, independent adjusters, public adjusters, estimators, or a mixed field-and-office group.

  • Does Parrot Key sell or provide the software subscriptions?

No. Participants are responsible for their own current Magicplan and Xactimate access. Parrot Key confirms the training setup before the session but does not control third-party subscriptions or features.
