Xactimate questions / Estimating workflow

What should be reviewed before marking an Xactimate estimate complete?

Use a final Xactimate quality-control check before changing project status or handing off the estimate.

01

The practical answer

Review project information, sketch geometry, room and elevation names, quantities, estimate items, activities, notes, photographs, reports, unresolved questions, and any required company checks. Confirm that the file is ready for its next authorized use before changing status.

02

Why this matters in a real field file

Completion can trigger synchronization, archiving, reporting, or workflow actions. A status change should reflect an actual review rather than the fact that the user has reached the end of the screen.

  • Project and price-list check
  • Sketch and quantity check
  • Room-by-room item review
  • Photo and note review
  • Duplicate and omission check
  • Required report and handoff check

How Parrot Key teaches it

Parrot Key teaches two reviews: a room-level check while the property is available and a final file-level check before completion or handoff.
